Field visits
A visit that proves itself
The rep checks in at the client's pinned location, takes the building photo, records the minutes and who was there, sets the outcome and checks out. Managers see the evidence, not a claim.

Checked in against the pin
Each on-site meeting has a location and a radius. The check-in records the distance from it, and whether it was inside.
The building photo
A visit can require a photo of the place before it closes. The proof sits on the visit, next to the time and distance.
Outside the radius is an exception
A check-in outside the circle asks for a reason and goes to someone who can decide it. Nobody approves their own.
Minutes by voice or text
Record a voice note of up to 15 minutes or type. The AI writes the transcript and a summary; you decide what is saved.
Who was there
Colleagues and people from outside Zaps (guests) are recorded on the meeting, so the record shows who was in the room.
On the spot, too
Not every visit is planned. Start a meeting now: on-site takes the position and checks in at once.
One visit, start to finish
The same five steps, every time
The app walks the rep through the visit as a checklist, so nothing depends on memory at the end of the day.
Check in at the gate
On-site, the check-in sends the phone's position once. Zaps compares it with the meeting's pin and its exact 50, 100 or 150 m radius, or an approximate one.

Photo, minutes, people
The checklist asks for the site photo, the minutes and who was there. Voice notes are transcribed and summarised: requirements, objections, competitors, key people.

Outcome and next step
The outcome moves the deal on the board, and a dated next step becomes a follow-up. Both land on the company's timeline.

Check out
Checking out of the meeting also ends the visit in attendance. If the visit still needs its photo, the app says so and links to it.

Watch the flow
Check in, photo, minutes, who was there, outcome, check out
This is the visit as the app runs it. Step through it, or let it play.
The specifics
How a visit is verified
- 01Pinned locations from WhatsApp
- Customers share Google Maps links. Paste one (short links too), coordinates or a plus code, or use your current location.
- 02Exact or approximate
- An exact pin uses a 50, 100 or 150 m radius. An approximate one uses 500, 1,000 or 2,000 m and is marked as approximate.
- 03Exceptions with a reason
- Out-of-radius check-ins and after-hours attendance wait for a supervisor's decision, with the proof photo. The navigation counts what is waiting.
- 04Planned, on the spot, or from the calendar
- Meetings are badged by origin: planned in Zaps, started on the spot, or brought in from the person's calendar.
- 05Versioned notes
- Meeting notes keep their history: edit, see earlier versions, restore. Draft minutes can be written in English or Arabic.
- 06Celebrated, quietly
- Check-ins, a started meeting and a recorded outcome get a short success moment in the app, with a haptic on phones.

Evidence, not surveillance
A check-in sends the position once, with the check-in. Continuous location is a separate, consented feature that only runs inside working hours.
Questions
What if the rep is outside the radius?
The check-in still happens, marked as outside, with a reason. It becomes an exception that a supervisor approves or refuses. Nobody decides their own.
Does the photo have to be taken?
A visit can require its building photo. Until it has one, checking out of attendance names the visit and links to it.
Can a visit be started without planning?
Yes. Start a meeting now from Today, the agenda or a company. On-site meetings take the position and check in immediately.
