Attendance & offices

Attendance in your own words

People check in for the activity types your organisation defines: the office, a client visit, a site survey, a delivery. Each check-in sends the position once and says whether it was inside the office circle.

  • Your activity types

The organisation names its own check-in types, in English and Arabic. Rows always show the type's current name.

  • Office circles

Each office has a pin and a radius. An office check-in names its office, its distance and whether it was inside the circle.

  • Proof photos

A type can require a proof photo. By default that is working from home and working after hours.

  • After-hours approvals

Work outside the organisation's hours waits for a supervisor's decision, with the photo. Nobody approves their own.

  • Check-ins that become meetings

A meeting check-in can record itself as a meeting, or link one of today's planned meetings. The meeting then opens.

  • A report for every day

My day shows worked, meeting and idle minutes. Supervisors see everyone's day and a report of up to 92 days, as CSV or Excel.

A working day

From the first check-in to the last

Attendance and visits are one record. Whichever is checked in first, the other follows, once.

1

Check in for the activity

Pick the type, and for an external meeting the company. If the company is not in Zaps yet, add it from the picker; it is created with the check-in.

2

Inside the office circle, or not

An office check-in may name the office. Without one, Zaps takes the nearest active office whose circle holds you, your home office first, and records the distance.

Exceptions wait for a decision

After-hours check-ins wait for approval with their proof photo. Approvers see what is waiting on Today and in the navigation count.

Check out, visits included

Checking out also checks out of open visits. A visit still missing its building photo is named, with a link to it. The day's worked time shows on Today.

The specifics

How attendance is checked

01The offices screen
People with the right to manage offices see every office's circle on a map, add or edit one with a pin (tap, current location or coordinates) and a radius, and retire or bring one back.
02Default radius
A new office left without a radius takes the organisation's default, 150 m unless changed.
03Home office and time zone
Each person can have a home office, preferred when several circles hold them, and their own time zone. Both are set in the admin console.
04Service area
A position outside the organisation's service area is refused as one that cannot be right; the app asks to wait for a GPS fix.
05Where are you?
A supervisor can ask a rep where they are. The rep sees a prompt on every screen with one Share my location button. A request waits 30 minutes.
06Team view and last seen
Supervisors see everyone's day and each person's last-seen position, as "x min ago" with a map link.

One position per check-in

A check-in sends the phone's position once, with the check-in. Continuous location during working hours is a separate feature that each person must agree to themselves.

Questions

Can we use our own check-in types?

Yes. The organisation defines its types in English and Arabic, which ones need a proof photo, and whether after-hours work needs approval.

What if someone checks in from a client and forgets to check out of the meeting?

Checking out of attendance also checks out of the open visit. If the visit still needs its building photo, the app says so and links to it.

Who decides an after-hours check-in?

A supervisor who holds the approval right over that person. Nobody decides their own.
